Information used to run the tools

We store account and membership details, records you add, and the activity needed for the features you use. These may include resumes, practice answers and grades, lesson progress, case competition profiles and requests, and, for fund members, applications, contacts, interviews, and placements.

Club registration requests include your name, verified email, university, club, role, optional website and note, and the review outcome. SOF uses these details to review club access. Authentication, security and audit logs, request records, and operational usage information help us provide access, troubleshoot problems, and administer the service. This processing is separate from optional research consent.

Event mentoring records include your name and verified contact email, invitations, expertise, availability, the number of teams you can support, and team assignments and responses. Guest mentor accounts are separate from student and fund membership. Accepting an invitation does not enroll you as a student or change an existing membership.

Who can see your information

• Fund recruiting tools and the fund network are restricted to eligible SOF members. Fund interview debriefs can be shared within the fund; personal recruiting records are otherwise scoped to their owner and authorized fund leads.
• Members of participating university clubs, including FIBC, can use the shared guide, general guide practice, learning progress, case competition tools, and their own resume builder. Case competition profiles and team information are visible to eligible participants according to that feature's sharing controls.
• Authorized event organizers can manage their event's participants, mentors, and assignments. Guest mentor access is limited to the events they help with and the team information needed for an assignment; confirming an assignment enables that team's mentoring workflow. Mentoring permissions do not expose another student's recruiting records, resume, or private practice answers. Existing members keep their ordinary student or fund permissions separately.
• SOF leads administer the service and can access member records for that work. Club officers can see their own cohort's roster, membership requests, engagement information, and events they are authorized to organize. Their officer role does not grant fund data or access to another student's resume.

Service providers

Clerk handles sign-in, Supabase stores application data, Vercel hosts the app, and Resend handles service email. AI-assisted features and search indexing can send relevant answer, resume, contact, or search content to OpenAI. Provider processing is part of delivering those features, separate from the research preference below.

Research is a separate choice

In privacy settings, you can record an optional, versioned choice about contributing to aggregate recruiting research. Research is not required to accept the terms or use your eligible tools. You can change your choice there.

This release records that preference; a separate research event stream and research reports are not enabled. Future research collection must follow your recorded choice. Reports will contain aggregates, not individual resumes, contact details, or attributed debriefs. Recruiter access is not enabled and would require a separate future opt-in.

Turning research off does not erase the records you saved to use the ordinary tools.

Your records and deletion requests

Privacy settings let you download your own ordinary application records as JSON. The download excludes private staff notes and other people's records; it is not an export from every service provider. You can correct records through the relevant editing tools or raise a privacy request.

A deletion request goes to an SOF lead for review. Approval means approved for processing, not that information or the account has been deleted. Ordinary platform access pauses and research is turned off while a request is pending. Your privacy controls and data download remain available. You can cancel before approval; cancellation or a declined request restores eligible tools after acknowledgement, but does not opt you back into research or republish your case competition profile. Saved data remains until removal is carried out; provider records, security logs, and backups are not instantly erased by a request or approval. This release does not automate that purge or promise a completion deadline.
